Layout status for app-supplied layouts

A Layout status menu on the report layouts page lets an administrator set a lifecycle state such as draft, pending approval, approved or retired on app-supplied layouts, including Microsoft ones. Layouts that are not approved do not show on the request page and only appear on the report layout page.

Area: Reporting and analytics. Status: GA. Developer relevance: medium. Airtime: 3 min across 2 videos, demoed.

Where they talk about it

Quotes

  • 0:31 "back in the fall in the spring release in wave one of 2026, we added the ability for an layout administrator" - Places the earlier layout status capability in wave 1 2026, which this release builds on.
  • 0:51 "we are now extending this to app-supplied layouts including the layouts that we ship with Business Central out of the box." - States the scope change: layout status now covers app-supplied and built-in layouts, not only uploaded ones.
  • 1:22 "You can still run any layout you want from this page." - Shows that layout status does not block administrators on the report layouts page.
  • 1:59 "they can only see approved layouts there. So, this is a way for you as an administrator to control exactly which layouts are approved" - Explains the user-facing effect: only approved layouts appear in the request page layout control.
  • 11:22 "And that means that no user will be able to use this layout when they run reports." - Describes the effect of setting a shipped layout to a non-active state.

Caveats mentioned

  • Covered in more detail in a different video.
  • Administrators can still run any layout from the report layouts page, even a retired one.

Prerequisites mentioned

  • Layout administrator role on the report layouts page

Documented features match

Docs checked on 2026-10-02: the match is against Microsoft's what's new pages for the wave as they were on that date. Microsoft keeps filling the documentation, so "no documented item" can go stale. The wider product documentation on learn.microsoft.com was searched for this feature on the same date; the feature's data lists an article when one was found.
