Overview

The video covers new project features for the Expense Agent web app. Project ledger entries were already part of the first release. The new part is that users can assign a project and project task to an expense in the web app, and administrators control which projects each user sees.

The demo goes through the setup in Business Central: enabling project tracking in Expense Agent setup, choosing between all projects and assigned projects, creating resources for employees and linking them on the employee card, and assigning resources on the project card. It then creates an expense in the web app, posts the expense report, and shows the resulting project ledger entries with project and project task.

Key points

  • Enable project tracking in Expense Agent setup to use projects in the web app; if it is not enabled, the project option does not appear in the web app at all.
  • Two visibility options: all projects (all users see all projects) or assigned projects (limits visibility, useful with hundreds of projects or confidential projects).
  • Assigned projects requires prerequisites: create a resource for each employee, then select the resource number on the employee card.
  • The project card has a new Assigned resources section where you choose which resources see that project in the web app.
  • Resources can also be assigned on project task lines so an employee sees only their assigned tasks; if task lines have no resources, the setup is inherited from the project card.
  • The web app shows only active projects and only project tasks for posting; begin-total and end-total tasks are excluded.
  • Posting an expense report with project and task assigned creates project ledger entries in Business Central, visible in the posting preview.
