Overview
The video demonstrates the mileage feature added to the Expense Agent. An employee creates a mileage expense by setting a starting and ending point on a map, then selects one of up to three suggested routes. The distance and the expense amount are calculated automatically from the mileage rate the admin configured. A round trip toggle doubles the distance and amount.
The second half covers the admin side. Administrators set the mileage rate per unit and the default distance unit (miles or kilometers). On the Expense Agent Setup page, a toggle can enforce the shortest route so users cannot pick between routes. The expense agent then processes the mileage expense and tries to match it to existing expense reports.
Key points
- Employees create a mileage expense in the expense agent by selecting starting and ending points on a map.
- Users can choose from up to three routes between the two points and pick the one they drove.
- The expense amount is calculated automatically from the distance and the mileage rates set by the admin.
- A round trip toggle doubles the distance and the amount; the user can also set the date and a description.
- Payment means defaults to cash and the expense category is mileage.
- After the expense is created, the expense agent processes it and tries to match and add it to an existing expense report.
- Admins open the expense agent avatar’s settings and, on the mileage expenses slide, set the rate per unit and the default unit of distance (miles or kilometers).
