Overview
The video walks through the Travel Request feature of Expense Agent. An employee submits a request with amount, dates, destination and purpose, and a manager approves it. The company gets an overview of expected expenses and an audit trail once expenses are posted.
The demo covers creating a basic request, adding line items by category with a currency per line, entering and posting the expense report, and checking the posted report. It ends with budgeting in a foreign currency for volatile markets. At recording time the web app and phone app versions were not ready.
Key points
- Travel Request is entirely optional; it gives employees a way to ask for permission to spend and gives the company an overview of expected expenses.
- A request holds amount, dates, destination and purpose for manager approval; it can also list several travelers.
- Line items can be split by category such as flight and hotel, with a currency set per line; euro amounts are translated into local currency.
- Posting the expense report creates GL entries that are linked back to the travel request, which helps in an audit, and employee ledger entries for the reimbursement.
- Foreign currency budgeting lets you budget in a currency such as Swiss franc and run an action to update local currency amounts, useful with volatile currency or high inflation.
- Automatic expense report creation applies only when the request is made in the expense agent web or phone app, not in the Business Central client.
- The web app and phone app versions of Travel Request were not ready when the video was recorded; the same functionality is to come there.
