Overview

Project management in Business Central lets you set up projects, plan and budget the work, record what is used, and bill the customer. The pages follow that lifecycle: a project card with tasks and planning lines, a budget, usage recording through project and resource journals, supplies through purchase orders and inventory, and invoicing through sales invoices or credit memos.

Supporting pages cover time sheets (create, submit, approve, post to the resource journal), assemble-to-project for items assembled only when planning lines need them, and WIP methods that estimate a project’s financial value in the general ledger while it is still open.

Start with the overview page “Project management”, then “Create a project card for a project and specify tasks”. Move to budgeting, usage and invoicing as the project progresses. The Project management analytics subtopic covers the Power BI Projects app, built-in reports, Data Analysis and WIP monitoring.

Key points

  • A project card uses a two-layer structure of tasks and planning lines, with options such as multi-customer billing and default locations.
  • Planning lines use Line Type (Budget, Billable, or Both Budget and Billable) to support budgeting and invoicing.
  • Usage is recorded in project journals and resource journals; Apply Usage Link links usage to planning lines, and Create Project Journal Lines can be used from planning lines.
  • Project sales invoices can be created with the Create Project Sales Invoice batch job or the Get Project Planning Lines action, for one or several projects; credit memos are possible for planning lines.
  • Project supplies are handled with the Create Purchase Orders action, Reserve and Apply Usage Link toggles, and inventory put-away.
  • Time sheets track absence, time and resources, with an approval flow and posting to the resource journal.
  • Five WIP methods are available: Cost Value, Cost of Sales, Sales Value, Percentage of Completion, and Completed Contract, with a Default WIP Method setting.
  • Assemble to project creates assembly orders from project planning lines and integrates with warehouse picks and item tracking.
