What's new in Expense Agent: Improved Mileage Handling (2026 release wave 2)
Expense Agent in the 2026 release wave 2 improves mileage handling. Mileage rates can now have date ranges and can differ by vehicle type. When a mileage rate setup is configured, it is used instead of the single standard rate in Expense Agent setup. The simple standard-rate model is still available for companies without complex needs.

Overview
The video covers improvements to mileage handling in Expense Agent. Before, mileage was set up as a single amount for all mileage types, with no date ranges. Now a mileage allowance can have start and end dates, so the rate changes automatically at a period boundary. Rates can also differ per vehicle type, such as car, truck, SUV and motorcycle.
The setup is shown in Expense Agent setup, a mileage rate setup table and a vehicle types table. A demo creates mileage expenses with the new setup. The example uses a car rate of 1.25 for 2026 and 1.30 for the next year. The presenter stresses that the simple standard rate model still works and that the new setup is optional.
Key points
- Mileage allowances can have start and end dates. On the last day of the previous period the old amount applies, and in the next period the new amount applies, so there is no manual change when rates change.
- Rates can be set per vehicle type (car, truck, SUV, motorcycle) in the mileage rate setup, using a new vehicle type table. The matching rate is applied when a vehicle type is selected.
- The user must select the vehicle type when creating a mileage expense. If no vehicle types are configured, none are offered and the date-based amount is filled in automatically.
- The standard mileage rate in Expense Agent setup is still available as a simple model. In the demo, once a mileage rate setup existed, the configured 1.2 standard rate was not used.
- The mileage rate setup has an optional currency code. Local currency is typical for mileage, so it usually does not need to be filled in.
- In the demo, the car rate is 1.25 in 2026 and 1.30 the following year. The truck rate is calculated at 2.5 per mile.
