Overview
The video introduces the Sales Order Agent, an AI agent that monitors a mailbox, reads customer emails, searches items, checks availability and pre-creates sales quotes in Business Central. It walks through activation and mailbox configuration, the agent task pane, and a customer-side email conversation in natural language.
It also covers filtering of irrelevant or harmful emails, the KPI dashboard, and the technical design. The agent works through the Business Central user interface, and administrators control it with permission sets and profiles.
Key points
- The agent only works with registered contacts and customers in Business Central. For an unknown sender, it notifies the user and lets them create and register the contact on the spot before continuing.
- Activation needs a Microsoft 365 shared mailbox for the agent to monitor. Configuration options are currently minimal, and users must be added to the agent before they can review its tasks, reconfigure it or delegate tasks to it.
- Item search goes beyond the item title and covers the item table, extended texts, translations, item attributes and item categories.
- The agent uses the Item Availability page with filters for item, date, customer, location and quantity. It pre-creates a sales quote, and a human reviews and confirms the outgoing email before it goes to the customer.
- If the customer asks for changes, the agent finds the existing quote and updates its lines. When the customer confirms, the quote is converted into a sales order.
- Promotional emails get a relevance warning that the user can override. Harmful messages are blocked and will not be processed.
- Microsoft provides the permission sets pre-built, and admins can make them stricter or looser. The agent must be disabled before its permissions can be changed.
